It might seem obvious, but start your audit with a strong foundational understanding of what you’re searching for. The clearer you are on these needs, the easier it becomes to evaluate platforms objectively.
Start with the question: What does your business need in a CRM to be successful now and in the future?
We get that it’s a loaded question, so it’s often helpful to start with these questions and back into the answer.
- How big is your sales team and how do they sell?
- Is your pipeline in a CRM or in spreadsheets?
- How technical is the person who will manage this day to day?
- Do you need marketing, sales, and service connected, or just one of those?
- Can you draw a line from marketing activity to revenue right now?
- What’s your budget, and how fast are you growing?
- What are your growth goals for this quarter, year, etc.?
Armed with these answers, the bigger, bottom-line business need should become clear.

Get a lay of the CRM landscape. It’s a crowded marketplace, but a comprehensive understanding of what’s available will help you feel more confident about your shortlist.
Based on years of experience, here’s our take on a few of the most popular CRMs and who they’re actually meant to serve.
- Salesforce: Tailored for the large enterprise with complex needs. It’s powerful, but requires investment in people (does need a dedicated admin) and time to truly understand it. If you’re enterprise with dedicated resources and complex needs, Salesforce deserves a serious look.
- HubSpot: The most broadly applicable option we see across growing businesses. Small to mid-size teams love it, but it scales to enterprise without ever forcing a migration. It houses marketing, sales, and service all in one place with significantly less technical overhead than other options to run it.
- Pipedrive: Best for sales-first teams that want simplicity and pipeline clarity. It’s strong for core sales management, but teams often need additional tools as their marketing, automation, and reporting needs expand.
- GoHighLevel: Built for agencies managing multiple clients. In that sense, it’s strong, but narrower in other ways.
- Monday.com: Created for operations-heavy teams that blur project management and CRM. We often see it work until the CRM needs outgrow what it can offer.
- SugarCRM: Best for technically–resourced teams that want deep customization. It’s extremely capable but also demanding.
- Mailchimp: Shines for small businesses where email is the primary channel. It’s a solid starting point, but has a limited ceiling for what you can do.

Beware of These CRM Mistakes to Avoid
In cases in which a new CRM failed, we see the same series of issues internally.
If any of these resonate, find a solution or factor it into your audit before moving forward.
- Your team isn’t bought in. A team that’s unwilling to learn and adopt a new system can undermine even the best CRM. Before you buy, make sure the people who will actually use the platform are ready to lean in.
- Nobody owns marketing strategy. Even the best tool won’t fix this. A CRM admin can’t set direction, and a junior team can’t be expected to. This is one of the biggest gaps we see in mid-market companies. The technology exists, but no one owns the strategy behind it.
- You don’t plan for growth. Teams that only plan for today and not tomorrow end up with serious migration costs. We see teams prioritize platforms that can grow with them for exactly this reason. HubSpot is particularly strong here, with the ability to scale from entry-level tools to enterprise capabilities on the same platform.
- Marketing and sales are totally disconnected. An age-old issue, disconnected teams lead to disconnected tools and processes.
- No one owns the technical implementation, then complexity will kill it. If this is the case, HubSpot’s no-code environment makes it manageable for any team member.
